TERMS AND CONDITIONS (報名須知及守則)
By enrolling in a course, the student or parent/guardian confirms that they have read and understood the course information, fees, class arrangements, and refund policy shown at the time of registration.
If The Spanish Academy is unable to operate a course as scheduled, any refund will be handled in accordance with the applicable refund policy.
1. General Terms
1.1. Fees paid are non-refundable unless a course is cancelled by The Spanish Academy.
1.2. Classes will only be confirmed once the corresponding payment has been received in full.
1.3. If payment is made by bank transfer, proof of payment must be provided before the first class is booked.
1.4. If a student arrives late, the class will still end at the scheduled time and will not be extended.
1.5. If a student arrives 30 minutes late or more, the class will be deemed forfeited, with no refund, extension, or make-up lesson.
1.6. Classes may only be officially cancelled by The Spanish Academy, including in cases such as teacher illness or other operational reasons.
1.7. The Spanish Academy reserves the right to change teachers when necessary.
1.8. No classes will be held on public holidays.
1.9. These Terms and Conditions may be amended from time to time without prior notice.
2. Group Lesson Policy
2.1. Missed group classes are non-refundable and cannot be rescheduled or made up.
2.2. As a make-up option, up to 2 private 1-hour sessions are available at HKD 300 each per full package.
2.3. Pro-rata is available if the student informs The Spanish Academy before enrolling that they will miss a class.
2.4. If a group class does not reach the minimum required number of students, The Spanish Academy reserves the right to shorten the class duration or cancel the course.
2.5. If a group course is cancelled by The Spanish Academy, students will receive a full refund for the affected course.
3. Private Lesson Policy
3.1. Private lessons may be cancelled or rescheduled only by notifying The Spanish Academy administration, and not the teacher, no later than 6:00 PM on the day before the lesson.
3.2. If notice is not given by this deadline, the lesson will be deemed forfeited.
3.3. All students must agree to cancel or reschedule a private lesson; otherwise, the class will still be counted.
3.4. In the case of illness, at least 2 hours’ notice must be given, together with a doctor’s certificate issued on the date of the lesson.
3.5. If the required notice or doctor’s certificate is not provided, the lesson will be deemed forfeited.
3.6. Any change to the schedule or duration of a private lesson must be confirmed with the administration, and not with the teacher directly.
3.7. The first lesson must be scheduled within 12 months of purchase.
3.8. A 5-hour private lesson package is valid for 2 months from the date of the first counted lesson.
4. Playgroup Policy
4.1. If a parent or guardian knows in advance that a child will miss a class, notice must be given before the module begins.
4.2. If notice is given before the module starts, the missed class may be deducted from the invoice before payment is made.
4.3. Once the module has started and payment has been made, missed playgroup classes will be counted as used.
4.4. If another playgroup for the same age group has available spaces during the same week, the child may join that session instead of the missed class, subject to availability.
4.5. One-hour make-up sessions may be arranged at the private class rate, subject to teacher availability.
4.6. Free cancellations, credits, refunds, and rescheduling are not available for missed playgroup classes.
5. Extreme Weather Policy
5.1 Any class suspended due to extreme weather will be rescheduled or postponed to the end of the relevant package or course period.
5.1. Typhoon Warnings
5.1.1. For Kids, Teens, and Adults classes, if Typhoon Signal No. 8 or above is in force, classes already in progress will continue for safety, while classes scheduled to begin within the following 3 hours will be suspended.
5.1.2. For Kids, Teens, and Adults classes, if Typhoon Signal No. 1 or No. 3 is in force, classes will continue as usual unless otherwise notified by email or WhatsApp.
5.1.3. For Playgroup classes, if Typhoon Signal No. 3 or above is in force, classes already in progress will continue for safety, while classes scheduled to begin within the following 3 hours will be suspended.
5.1.4. For Playgroup classes, if Typhoon Signal No. 1 is in force, classes will continue as usual unless otherwise notified by email or WhatsApp.
5.2. Rainstorm Warnings
5.2.1. For Adults classes, if a Black Rainstorm Warning is in force, classes already in progress will continue for safety, while classes scheduled to begin within the following 3 hours will be suspended.
5.2.2. For Adults classes, if an Amber or Red Rainstorm Warning is in force, classes will continue as usual unless otherwise notified by email or WhatsApp.
5.2.3. For Kids and Teens classes, if a Red or Black Rainstorm Warning is in force, classes already in progress will continue for safety, while classes scheduled to begin within the following 3 hours will be suspended.
5.2.4. For Kids and Teens classes, if an Amber Rainstorm Warning is in force, classes will continue as usual unless otherwise notified by email or WhatsApp.
6. Media and Newsletter Consent
6.1. The student or parent/guardian authorizes The Spanish Academy to use photographs or videos of the student for educational or promotional purposes, including on its website and social media channels.
6.2. No compensation will be provided for such use.
6.3. By submitting the registration form, the applicant agrees to receive The Spanish Academy newsletter.
